Executive Secretary

This is an exciting opportunity to join our Chief Executive office support function. The Executive Secretary will join a small team of 3 and provide effective secretarial support to ensure the smooth running of the office. This is a varied role that will include visit planning, supporting with HR and finance systems, briefing notes and general administration support. You’ll also be part of the wider Executive Support function of 7 who support other members of the executive team.

 

The role of Executive Secretary will include:

  • Delivering, coordinating, maintaining and monitoring an effective high quality secretarial service to support senior managers and Directors to operate efficiently
  • Preparing and presenting information, clearly and concisely, to effectively communicate key business messages, this may include support with Executive-level Committees, collating briefing/research and drafting Group-level communications as necessary
  • Ensuring discretion and confidentiality at all times
  • Communicating effectively and maintaining good working relationships with internal and external stakeholders
  • Ensuring any issues are identified and dealt with appropriately, including investigating and responding to complaints
  • Preparing for, attend and take minutes at meetings, to ensure effective organisation and record keeping
  • Maintaining effective financial systems (financial, HR and expenses) by operating within appropriate financial policies and procedures
  • Supporting the Executive Assistant with organisation and set up of successful events/visits for the Group Chief Executive

 

Skills and experiences:

  • Secretarial qualification, NVQ3 in business administration or knowledge and experience at an equivalent level
  • Proven experience of providing secretarial support to senior level executives
  • Recent experience of undertaking a similar role
  • Proven experience of working to deadlines and prioritising work loads
  • Excellent understanding of written and spoken English and communication skills
  • Excellent interpersonal and customer care skills
  • Basic negotiation and presentation skills
  • Ability to interpret computerised information and documentation
  • Intermediate Microsoft 365 skills

  • Role salary is £26,982 (rising to £28,402 per annum after 12 months, subject to satisfactory performance)
