We have an exciting opportunity for a diligent Secretary with a strong attention to detail to join our Housing team. In this role, you will support the Director of Housing and Customer Services with day-to-day tasks, manage their diary, and help prioritise their workload.
The role of Director’s Secretary will include:
- Manage all enquiries on behalf of the Director acting as the initial point of contact for incoming calls and mail, proactively making decisions on which information needs to be brought to their attention.
- Maintain and monitor the Director's diary, managing conflicts and priorities including screening meeting requests, scheduling internal and external meetings.
- Respond to ad hoc requests as necessary, preparing and collating information and reports on behalf of Directors in a timely manner to effectively communicate key business messages.
- Manage the resolution of HR processes including recruitment and payroll issues and maintain related records on behalf of the Senior Manager / Director ensuring confidentiality.
- Communicate effectively and maintain good working relationships with internal and external stakeholders to ensure any issues are identified and dealt with appropriately, including investigating and responding to complaints.
- Provide administrative support by preparing, collating and distributing agendas and other relevant documentation and take minutes at meetings to ensure effective record keeping.
- Maintain effective financial systems by operating within appropriate financial policies and procedures to ensure compliance with regulations.
Skills and experiences:
- Previous experience in a similar secretarial role, or an NVQ in business administration
- Experience in writing board reports is desirable
- Ability to think on your feet and solve problems
- Experience handling confidential and commercially sensitive data
- Excellent communication, interpersonal, and customer care skills
- Strong organisational skills with the ability to meet deadlines and manage workloads effectively
- Occasional travel may be requirement of the role, therefore a full valid driving licence is essential

- Role salary is £29,487 per annum (rising to £31,039 per annum after 12 months, subject to satisfactory performance)
- The full time equivalent salary for this role is £27,521 based on 35 hours per week rising to £28,970 after 12 months service and subject to satisfactory performance
