Administration Officer - Part Time

 

Henry Scott Tuke House, Falmouth

 

£11,936 - £12,564 per year

 

20 hours per week – Monday to Friday 1pm – 5pm

 

We are looking for an Administration Officer to join our Estates team in the South West. Working with the Manager and a team of 4 you will be responsible for covering the reception in our Falmouth Student office, taking phone calls and managing external contractors. Duties will also include raising orders, completing audits, handling post and parcels which are delivered to the office, keeping asset register records up to date and reviewing and updating health and safety documents. We are looking for someone with experience in a similar role providing high quality customer service to all customers and keeping records and documents up to date.

 

The role of Administration Officer will include:

  • Delivering an effective and efficient administrative system to support the delivery of services in accordance with policies, procedures and relevant regulations
  • Supporting the wider team by ensuring accurate and timely information is collected, collated, prepared and presented
  • Arranging meetings for the team including information preparation, minute taking and follow up administration to ensure effective organisation and record keeping.
  • Managing and maintaining relationships with internal and external stakeholders, residents and contractors
  • Identifying any shortfalls in service delivery and ensuring they are dealt with appropriately, including investigation and responding to complaints

 

Skills and experiences:

  • Previous experience of undertaking a similar role
  • NVQ 3 in relevant area (e.g. business administration, customer service) or knowledge and ability at an equivalent level
  • Experience of producing and analysing quality statistical information
  • Ability to work to deadlines and prioritise work loads, both for self and others
  • Good communication and organisation skills
  • Knowledge of Microsoft Office including Word, Excel and Outlook
  • Occasional travel may be requirement of the role, therefore a full valid driving licence is essential

The full time equivalent salary for this role is £20,888 based on 35 hours per week rising to £21,987 after 12 months service and subject to satisfactory performance
